It answers on the first ring, day and night
The phone rings while you are with a customer. It rings at lunch, in the evening after closing, on Sunday morning. A person cannot be there every time. The AI receptionist can.
It picks up on the first ring, introduces itself in your business’s name and starts the conversation naturally. No keypad menu, no hold music. The caller feels like they are talking to a member of the team.
It handles several calls at once. When two customers call in the same minute, neither of them hears a busy line.
Bilingual, like your customers
In Montréal, one call starts in French and the next ends in English. The AI receptionist recognizes the caller’s language from the first words and carries on in that language. If the caller switches midway, it follows.
The vocabulary is adapted to your field. A clinic talks about exams and follow-ups. A garage talks about tires and service appointments. We teach the receptionist your services, your terms and your usual answers.
It books appointments and confirms by text
The receptionist is connected to your current calendar, whether that is Google Calendar, Outlook or your booking system. It sees the open slots, suggests a time and enters the appointment directly.
As soon as the appointment is booked, the customer receives a confirmation text with the date, time and address. If they need to cancel or move it, they reply to the text and the change happens without anyone calling back.
- The customer calls and explains what they need
- The receptionist checks availability in your calendar
- It suggests a slot and confirms the customer’s choice
- The appointment appears in your calendar
- A confirmation text goes out to the customer
It transfers what matters and takes a message for the rest
Not every call is equal. You decide which ones should reach you right away: an emergency, a supplier you are expecting, a particular customer. The receptionist transfers those calls to the line of your choice.
For everything else, it takes a complete message: name, number, reason for the call, best time to call back. You get the message by email or by text the moment the call ends.
What it does when it does not know
A good receptionist does not guess. When a question falls outside what it has been taught, the AI receptionist says so plainly, takes the person’s details and promises a callback. It never makes up a price, an availability or a policy.
Every conversation of that kind is flagged to you. We use it to complete its answers, so it knows what to say next time.
An AI receptionist set up on your hours and your tone
Before go-live, we sit down with you. We note your opening hours, your services, your booking rules, the questions your customers ask most. Together we choose the voice and the tone: warm, reserved, formal or casual.
Then we test the receptionist with you, making real calls to it, before it takes its first customer call. Call volume, transfers and the integrations included are set out in the quote.
